Data protection and processing of personal data in the application process
Collection of personal data
The VEDA Group values and respects job applicants and protects their privacy. This statement on the protection of applicant data serves as the basis for the processing of personal data that you provide to us during the application process. The VEDA Group consists of the company responsible for data processing and its affiliated companies within the meaning of Section 15 of the German Stock Corporation Act (AktG). For the sake of simplicity, all affiliated companies, including the responsible company, are referred to as the "VEDA Group" in the following. Please note that all companies of the VEDA Group may process their own copies of your personal data if they are involved in the recruitment process. By submitting your online application, you provide the VEDA Group with the personal data contained in your application documents. The protection of your personal rights is guaranteed at all times through the consistent application of the European General Data Protection Regulation (EU GDPR) and the Federal Data Protection Act (BDSG, as amended)
Collection of personal data
We collect and use personal data that you provide during the application process. The personal data we collect is mainly used for recruitment and selection purposes. The data is stored in systems located exclusively in Germany and may be processed by third-party service providers on our behalf. Processing by third-party service providers is carried out exclusively on the basis of a data processing agreement in accordance with Art. 28 GDPR.
Types of personal data
What is personal data and what data is stored? Personal data is information relating to an identified or identifiable person. The following categories of data are regularly stored about you: - Your personal details – e.g., your name, date of birth, gender, nationality, second nationality, personal contact details (e.g., home address, telephone number, email address), current position, and salary; - Qualifications – qualifications, memberships in professional associations or licenses, language skills, competencies and skills (ability to drive a vehicle, etc.) - Information about immigration and work authorization – including ID card number, social security number, visa or work permit; - Equality and diversity information – where permitted by local law and provided on a voluntary basis, e.g., race and ethnic origin data (stored anonymously for equal opportunity monitoring purposes, only with your express consent in accordance with Art. 9(2)(a) GDPR) - Information about your application – e.g., comments on the interview, assessment results; - Security and other checks – including references, birth certificate, driver's license, background check (in individual cases, publicly available professional profiles on social networks such as XING or LinkedIn may also be viewed if this is necessary to verify professional qualifications. This is done on the basis of a legitimate interest pursuant to Art. 6 para. 1 lit. f) GDPR and exclusively on the basis of publicly available information); Disclosure of criminal convictions (if this is legally required and permissible for the advertised position). - Other personal data that you voluntarily provide to us in verbal or written form during the application process or during the interview, including, in particular, other information from your resume; and - Informal data – including opinions communicated during the application process or during the interview
Storage of personal data
Your personal data will only be processed on the basis of legal permission, Art. 5 and Art. 6 GDPR. Your personal data will generally be processed on the following legal bases: - to carry out pre-contractual measures in accordance with Art. 6 (1) (b) GDPR, - where necessary to safeguard legitimate interests in accordance with Art. 6 (1) (f) GDPR, - in the employment context pursuant to Art. 88 GDPR in conjunction with § 26 BDSG, - in the case of voluntary disclosure or storage for future job offers on the basis of your consent pursuant to Art. 6 para. 1 lit. a) GDPR. Your personal data will be collected, processed, and used solely for the purpose of applicant selection within the VEDA Group. Your data may be exchanged within the VEDA Group, but will not be passed on to third parties. Unsuccessful applications will be processed by us for a limited period of time (maximum 12 months) so that your application can also be considered for future positions. However, this will only happen if you have given us your express and voluntary consent (Art. 6 para. 1 lit. a) GDPR). This consent can be revoked at any time with future effect without giving reasons. This will not result in any disadvantages for you as an applicant
Storage of personal data
The data will only be stored for as long as it is necessary for the purposes of processing or until consent is revoked. In some cases, we are legally obliged to store certain data even after the application process has been completed. Your personal data will be completely anonymized as soon as it is no longer required for the purpose for which it was collected, but no later than twelve months after the application process has been completed. Application documents provided during the process will be destroyed by VEDA in accordance with data protection regulations. In individual cases, data may be stored for longer periods, for example to assert, exercise, or defend legal claims, provided this is permitted by law.
Your rights
As a data subject, you have the right to - information about the personal data stored about you, Art. 15 GDPR, - correction of incorrect or incomplete data, Art. 16 GDPR, - deletion of personal data, Art. 17 GDPR, - restriction of processing, Art. 18 GDPR, - Data portability, Art. 20 GDPR, - objection to processing, Art. 21 GDPR, - revocation of consent already given with effect for the future, Art. 7 (3) GDPR, complaint to a supervisory authority, Art. 77 GDPR. No automated decision-making, including profiling, will take place in connection with your application in accordance with Art. 22 GDPR. Security of your personal data
We implement appropriate physical, technical, and administrative security standards that are suitable for protecting your personal data against loss, misuse, alteration, destruction, or damage, and for ensuring a level of security appropriate to the risk. We take measures to restrict access to your personal data to those employees who need such access for one of the purposes listed under "Use of personal data."
